Job Summary
The Lead, Onboarding & Integration supports the successful onboarding, system integration, and early lifecycle experience of new HaloMD clients. This role ensures critical onboarding activities are executed accurately and on time, helping clients transition smoothly from contract execution through go‑live.
The Lead serves as a day-to-day coordinator and subject matter resource for onboarding processes, workflows, and system configuration tasks. Partnering closely with Business Development, Data Integration, Operations, and Client Success teams, this role helps drive high‑quality implementations, identifies risks early, and contributes to a consistent, client‑focused onboarding experience.
Essential Job Duties and Responsibilities
Leadership
- Coordinate the execution of onboarding and integration activities from client kickoff through "Go‑Live'.
- Monitor onboarding progress and flag at‑risk implementations to the Manager for escalation or intervention.
- Contribute to updates of onboarding processes, documentation, and internal playbooks.
- Communicate status updates and risks to the Manager and relevant cross‑functional teams.
Client Onboarding
- Execute onboarding tasks following established procedures, adapting appropriately to client‑specific needs.
- Serve as a primary operational point of contact during onboarding, ensuring clear and timely communication.
- Collect and validate client deliverables, workflows, and operational data to support configuration and integration activities.
- Coordinate with internal teams to ensure accurate delivery of onboarding components and timelines.
- Maintain consistent communication with clients during onboarding, ensuring readiness for "Go‑Live'.
System Configuration & Integration
- Collaborate with Data Integrations and Operations teams to support configuration of HaloMD systems.
- Support data migration, system integration, and testing activities as required.
- Assist in troubleshooting onboarding and configuration issues, coordinating resolution across internal teams.
- Ensure integrations align with HaloMD operational standards, compliance requirements, and best practices.
Early Lifecycle Management
- Build trusted working relationships with client stakeholders during the onboarding and early adoption period.
- Monitor issues, risks, and dependencies, escalating to the Manager when needed.
- Conduct regular client check‑ins to review progress, outstanding items, and readiness for subsequent onboarding milestones.
- Capture and relay client feedback to the Manager, Client Success, Data Integration, and Operations teams.
Other Skills & Specialized Knowledge
- Strong project coordination and task management skills, with the ability to manage multiple onboarding processes at once.
- Excellent written, verbal, and client‑facing communication skills.
- Solid analytical and troubleshooting ability with strong attention to detail.
- Ability to adapt to changing client needs and support evolving business requirements.
- Proficiency in Microsoft Word, Excel, PowerPoint, and project‑tracking tools.
- Highly organized, execution‑driven, and client‑focused.
Education and Experience
- Bachelor's degree in healthcare administration, Business Administration, or related field, or equivalent experience.
- 2-4 years of experience in client onboarding, implementation, integration, or client-facing operations, preferably within healthcare, or revenue cycle management.
- Experience collaborating with cross-functional teams such as Data Integration, Operations, and Client Success teams.
- Familiarity with EHR systems, healthcare workflows, or revenue cycle operations strongly preferred.
Other Requirements
- Ability to work on a regular and consistent basis.
- Travel expectation of up to 15-20%, with potential for additional travel as needed.
