Job Summary:
Refund management is a critical aspect of a business's operational framework, focusing on the process of handling and processing customer refunds. The NSA Refund Compliance Manager is responsible for leading and overseeing the Refund Compliance Supervisor and Team Leads to ensure the accurate, timely, and compliant processing of refund transactions across all 15 IDREs. Reporting to the Refund Compliance Director, this role drives operational strategy, process improvement, and cross-functional collaboration to maintain financial accuracy and regulatory compliance. The Manager serves as a key liaison between frontline leadership and the Director, translating organizational goals into actionable team objectives.

Essential Job Duties and Responsibilities:
  • Develop and maintain client-facing direct reports, including building standardized reporting formats, analyzing client data trends, and ensuring accuracy and clarity of information delivered to clients.
  • Analyze client direct report data to identify patterns, discrepancies, and opportunities for process improvement, communicating findings to the Refund Compliance Director and relevant stakeholders as needed.
  • Manage and provide strategic direction to the Refund Compliance Supervisor and Team Leads, ensuring alignment with departmental goals and performance standards.
  • Oversee hiring, onboarding, performance evaluations, and professional development of supervised staff
  • Establish and enforce team performance metrics, holding leadership accountable for daily reconciliation accuracy, reporting timelines, and compliance standards.
  • Review and approve reports and escalations prepared by the Supervisor and Team Leads before delivery to the Refund Compliance Director.
  • Partner with the Refund Compliance Director to develop, implement, and refine policies and procedures governing refund operations.
  • Lead process improvement initiatives to enhance efficiency, accuracy, and scalability of refund handling across all IDREs.
  • Oversee month-end close activities and internal audit support related to IDR refund operations, ensuring completeness and accuracy of documentation.
  • Serve as an escalation point for complex discrepancies, payer disputes, or compliance issues that cannot be resolved at the Supervisor or Team Lead level.
  • Collaborate with Accounting, Legal, and external platforms to resolve systemic issues and ensure adherence to payer contracts and regulatory requirements.
  • Monitor trends in refund activity, identify risk areas, and proactively communicate findings and recommendations to the Director.
  • Ensure audit readiness and maintain a culture of documentation and internal controls across the team.
  • Other duties as assigned.
Education and/or Experience:
  • Bachelor's degree in Accounting, Finance, Business Administration, or equivalent work experience required.
  • 3+ years of refund or revenue cycle experience is required.
  • 2+ years of NSA (No Surprise Act) experience required.
  • 2+ years of leadership or management experience, including oversight of supervisors or team leads is required.
Skills/Specialized Knowledge:
  • Strong leadership, organizational, and decision-making skills.
  • In-depth knowledge of refund processing, collections, and reconciliation.
  • Thorough understanding of the independent dispute resolution (IDR) process.
  • Demonstrated ability to develop and coach supervisory-level staff.
  • Excellent written and verbal communication skills, including ability to present findings to senior leadership.
  • Advanced proficiency in Microsoft Excel and data analysis tools.
  • Knowledge of laws regulating communications and privacy.
