Job Summary
The Refund Supervisor is a critical aspect of a business's operational framework, focusing on the process of handling and processing customer refunds. The Refund Compliance Supervisor is responsible for overseeing day-to-day refund operations across onshore and offshore team members, ensuring accurate, timely, and compliant processing of refund transactions. Reporting to the Refund Compliance Manager, this role provides hands-on leadership and guidance to Team Leads and frontline staff, supports process improvement efforts, and helps maintain a culture of accountability, accuracy, and compliance.
Essential Job Duties and Responsibilities
- Supervise and support a team of onshore and offshore associates, fostering a collaborative environment and ensuring daily workflows are executed accurately and on time
- Review journal entries prepared by team members for accuracy and completeness prior to escalation for approval, ensuring adherence to accounting standards and internal controls
- Collaborate with the Refund Compliance Manager and cross-functional teams to support the implementation of automation and standardization initiatives
- Monitor and reinforce team performance metrics, holding Team Leads and associates accountable for daily reconciliation accuracy, reporting timelines, and compliance standards
- Review and analyze team-generated reports and client data to identify patterns, discrepancies, and opportunities for process improvement, escalating findings to the Refund Compliance Manager as needed
- Provide day-to-day direction and coaching to Team Leads, ensuring alignment with departmental goals and performance standards
- Assist with onboarding, performance evaluations, and professional development of supervised staff in coordination with the Refund Compliance Manager
- Serve as the first escalation point for complex discrepancies, payer disputes, or compliance issues raised by Team Leads, resolving when possible or escalating to the Manager as appropriate
- Collaborate with internal teams including Accounting and Legal to support resolution of operational issues and ensure adherence to payer contracts and regulatory requirements
- Monitor trends in refund activity at the team level, identify risk areas, and communicate findings and recommendations to the Refund Compliance Manager
- Other duties as assigned
Education and Experience
- Bachelor's degree in Accounting, Finance, Business Administration, or equivalent work experience required
- 3+ years of refund or revenue cycle experience
- 2+ years of leadership or management experience, including oversight of supervisors or team leads
- 1+ years of NSA (No Surprise Act) experience is highly preferred
Skills/Specialized Knowledge
- Strong leadership, organizational, and decision-making skills
- In-depth knowledge of refund processing, collections, and reconciliation
- Thorough understanding of the independent dispute resolution (IDR) process
- Demonstrated ability to develop and coach supervisory-level staff
- Excellent written and verbal communication skills, including ability to present findings to senior leadership
- Advanced proficiency in Microsoft Excel and data analysis tools
- Knowledge of laws regulating communications and privacy
